Writing Done in BUSINESS

Business writing includes a wide range of different formats and writing jobs. These jobs include both internal communication within the company and external communication interfacing with the public and organizations.
Business writing include the development of the following documents: newsletters, memos, letters, proposals, reports, power point presentations, press releases, marketing brochures, copywriting, technical writing, web copy, blogging, resumes and job applications, and more (Wikiversity, n.d.).

Purpose:

  • To deliver a message. Business memos, e-mails and letters are meant to give information about an important matter.

  • To direct action: Many professionals use their business writing skills to tell others what to do or how to do it (Ginger Software, n.d.)

  • To influence someone to take action: Business communication is often used to influence others to take a specific action, whether to use a certain tool during the course of business or to purchase a product or service that is on offer (Ginger Software, n.d.).

Target Audience:

  • Employees or Managers. The primary audience for the business communication includes people who work for the company itself.

  • Outside users. Then secondary audiences may include other users who might want to use the documents.

Format & Content:

  • Business Letter. A formal business letter is preferred when presenting information to a professor, a superior, or when the communication will be seen by many (Brown, n.d.).

  • Memo. A memo (memorandum) is a less formal style that is used when the information being communicated is of less importance, does not leave the office, and when communicating with subordinates (Brown, n.d.).

  • E-mail. E-mail is the least formal of the styles presented here and should only be used for informal communication such as reminders, questions, or when preferred by the recipient. It is important to note that e-mail is public domain. No confidential messages should be sent via e-mail unless you have company technology and policy that allows for secure communication (Brown, n.d.).
